Column formats and data validation

Setting column formats and validation

To set formats and data validation for a column:

  1. In Grid layout, right-click or hover over the column header and select the context menu option "Edit column".
  2. If the column type supports data formats or validation, it will show as a "Format" and "Validation" tab in the column settings dialog.
  3. Select the respective tab, configure the format/validation, and save.

 

Supported column types

TYPE FORMATS DATA VALIDATION

Text

  • Plain text
  • Email
  • URL

Note: setting email or url format will also enforce validation.

  • Min character length 
  • Max character length
  • Match standard email format
  • Match standard URL format

Note: min or max character lengths are inclusive, and blank values do not count against the min character length.

Number
  • None
  • Integer
  • Decimal (up to 6 places)

Can toggle thousands separator.

  • Min value
  • Max value

Note: max or min values are inclusive, and blank values do not count against the min value.

[WIP] Date and time

Date formats:

  • Standard (1/1/21)
  • Friendly (Jan 1, 2021)
  • ISO (2021-01-01)
  • Relative (1 month ago)

Note: to change date format from U.S. (MM/DD/YY) to European (DD/MM/YY), you need to change the table locale (see below).

Time formats:

  • 12 hour (1/1/21, 10:00 PM)
  • 24 hour (1/1/21, 22:00)

Date validation:

  • Must be in the past
  • Must be in the future

Note: date validation will not show warnings for existing values.

Person
  • Autosized (collapses to photo only for 2+)
  • Email only
  • Photo and name
  • Photo only
  • Only users with email ending in <yourdomain>
  • List of users

Note: when limiting by domain email, it will support sub-domains. When limiting by a specific list of users, the person-selector will only autocomplete on that specific list.

 

NOTE: data validation only applies to new or updated values. Data validation applies across all parts of the product where a value can change: entry through layouts, forms, via bot actions (add row, update row, etc.), and our API.

Data validation warnings

Existing column values that do not match validation will show a warning sign next to the value, to visually indicate to users which values should be updated.

Bot actions that try to update or add rows that do not match validation will fail and surface an "invalid" status in the bot execution history. To fix this, ensure that the bots are not sending data that does not match the validation criteria.

Changing date format via table locale

 To change date format via locale:

  1. Hover over the table and select the context menu option "Table settings".
  2. In the Table locale section, select the respective tab and click save.
