Linking tables and Table-to-Table permissions

What are "table-to-table" permissions?

The “Link to table > Lookup” column type lets a user set up a relationship and permission between the two tables that allows the current table to read from the rows in the target table. A person can only link to a table that they have at least viewer access to. Learn more about table relationships.

When a linked lookup column is created, it will allow the user to pick which column from the target table to show in the current table -- essentially creating something similar to a JOIN in the database world -- this allows you to pull in data from two tables in one place. For example: if you had a table of tutors, and a table of students, you can create a link from the students table to the tutors table so that you can match tutors to students.

You can create multiple lookups and relationships between tables, and even create a relationship that links back to the current table. Each relationship can have multiple lookup columns, which you can delete and reorder however you like.

 

Once this link/reference is created, it also creates a “table-to-table” permission for the current table to have read access to the target table, which has the following effects:

  • All editors of the current table can see the linked target table name.
  • When working in the current table, only users who have view access to the target linked table will able to look up and select rows from the target table -- this is done to protect the permission settings that have been set on the target table -- users without access can still see data from the linked rows that have already been selected.
  • All editors of the linked target table will be able to see the current table’s name and owner email address in the advanced table settings dialog where they can manage permissions.

Removing a table-to-table permission

If you want to remove the table-to-table permission, you can go to the advanced table settings dialog from the right click context menu and remove it explicitly, by looking for the respective table name. Warning: this will cause any linked columns and bots that rely on the table-to-table permission to break and fail. You can restore a removed permission from the advanced settings dialog as well.
