Time-based bots are great for recurring reminders or monitoring-type alerts, such as sending a reminder for overdue tasks, etc. We currently support the ability to trigger on a daily or weekly basis, and you can set an approximate time for when the bot will trigger (it should trigger within 30 minutes of the selected hour time range):
It’s important to add some bot conditions to make sure your bots are triggering on the right rows. Warning: bots will execute the action for every single row that matches the conditions (and if no conditions are set, then it will execute for all rows in the table); the exception to this is if you use the "Email summary" action, which will only execute once.
Here are some common examples:
Weekly reminder on Monday for overdue tasks: |
Remind me if an event is coming up tomorrow: |
Warn me if the stock/count of something is low: |
In particular, time-based bots are great when used with a condition on a Date-type column, so you can do things like:
- Send a reminder if “date” is exactly 14 days in the future (e.g. remind 2 weeks before)
- Send a reminder if “date” is in the next 7 days (e.g. recap upcoming tasks next week)
- NOTE: be careful not to accidentally configure your bot to miss days! For example: a bot set to trigger every week on Monday, and check for tasks with a “due date” that is exactly 1 day in the future -- this will only remind you of tasks due on Tuesday and miss any tasks that have due dates on the rest of the days.
