Quarantine summary report

The quarantine summary email report is available for non-Gmail users only, such as users of Microsoft® Outlook. If you use Gmail, learn how to manage spam in Gmail. To help people using Outlook in your organization make the switch to using quarantine summary email reports, download this email template.

Review the quarantine summary report 

The quarantine summary report is a periodic message file sent to your inbox.

  • By default, the summary report displays a list of messages marked as potential spam. You can scan the list for falsely quarantined messages, and then click Deliver to identify a message or messages as not spam. After you've identified messages as not spam, the system is trained to identify similar messages and will deliver them to your inbox as valid messages. 
  • Depending on the report settings, your quarantine summary report might also include messages that weren't marked as spam but should have been. You can scan the summary list for messages that should be considered spam, and then click Report spam. After identifying messages as spam, the system is trained to identify similar messages as spam, making it more likely to quarantine the messages as spam in the future.
  • You can change the status of messages in the quarantine summary at any time, for example, to change a message from spam to not spam, and vice versa.

Note: If you mark a message as not spam and it doesn't appear in your inbox (or you've deleted it) you can return to the quarantine summary to have a copy of the message sent to your inbox. You must do this within 30 days of receiving the original message (not the summary).

How often do I receive a quarantine summary?

Your administrator determines how often you receive the quarantine summary. In addition, you might not receive a quarantine summary if you didn't receive any messages between scheduled quarantine summaries.

To view the report ahead of schedule, click the link in your quarantine summary email to receive an updated list of messages. It reads: Click here to receive an updated summary of messages quarantined since this report was generated.

How to act on a message listed in the quarantine summary

The following procedures describe the options for working with a message listed in the quarantine summary.

To act on a message contained in the summary, you must do so within 30 days of receiving the original message—not the summary.
Messages marked as spam in the quarantine summary

Messages marked as spam appear in your quarantine summary by default.

If a message listed in your quarantine summary is not spam:

  1. In the Action column on the right, click Deliver next to the listed email. A confirmation message prompts that the email was sent to your inbox and reported as not spam.
  2. Click Done.

If you think a message listed in your quarantine summary might not be spam:

  1. In the Action column on the right, click Deliver link next to the listed email. A confirmation message prompts that the email was sent to your inbox and reported as not spam.
  2. Keep the confirmation page open in your browser window while you review the newly delivered email in your inbox.
  3. If you decide the message is not spam, click Done. If you decide the message is spam, click Report spam, and then click Done.

If you change your mind:

  1. Return to the quarantine summary report that lists the email message.
  2. In the Action column on the right, click Deliver adjacent to the listed email:
    • If you think the email is spam, click Report spam.
    • If you think the email is not spam, click Send again.
  3. Click Done.

If a message doesn't appear in your inbox after marking it as not spam, or if you deleted the message:

  1. Return to the quarantine summary report that contains the email message.
  2. In the Action column on the right, click Deliver adjacent to the listed email.
  3. Click Send again.
  4. Click Done.

Note: If the message does not appear in your inbox, contact your administrator for delivery problems.

Messages marked as not spam in the quarantine summary

Messages marked as not spam appear in your quarantine summary only if your administrator included this option in the report settings.

If you think a message listed in your quarantine summary is spam:

  1. In the Action column on the right, click Report spam adjacent to the listed email. A confirmation message prompts that the email was reported as spam.
  2. Click Done.

If you change your mind:

  1. Return to the quarantine summary report that contains the email message. 
  2. In the Action column on the right, click the Report spam link adjacent to the listed email:
    • If you think the email is spam, click Report spam.
    • If you think the email is not spam, click Send again.
  3. Click Done to close the confirmation message.
