Review Cloud Search usage reports

You can review reports about your organization's Cloud Search usage. Two types of reports are available: User Activity and Data Source.

How the reports work

  • User Activity report—Includes usage through the Cloud Search Query API. Excludes usage through Google interfaces, cloudsearch.google.com, and the Cloud Search mobile app. 
  • Data Source report—Shows indexing usage for third-party data sources.

Review User Activity reports

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Reportingand thenReportsand thenApps reportsand thenUser activity.
    • To get data for custom search apps, click All applications and select the custom application you want to get data for.
    • To get data for different time periods, click Last 7 days and choose a different time period.

Review Data Source reports

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Reportingand thenReportsand thenApps reportsand thenUser activity.
    • To get data for different time periods, click Last 7 days and choose a different time period.

Viewing specific data series

In any report, to remove a data series, click its name in the legend. You might want to remove a series when its magnitude is different from other data series in the report. When you click the legend to remove that series, the report is redrawn with an updated scale so you can see details in the remaining series.

To restore a series you removed, click the series name in the legend again.

Data details and definitions

  • Last 7 days: 7 days of data, not including today.

  • Last N months: Last N * 30 days of data, not including today.

  • For User Activity reports

    • N-day active user: A unique, signed-in user that ran at least one search query in the last N days, not including today.

    • Query volume: Repeated queries, or query refinements, count as separate queries.
      Search suggestions: As you type a query, Cloud Search might make search suggestions to help you find what you're looking for. These autocompleted suggestions aren't counted in query volume unless you click one of the suggestions.

    • Search session: A session continues until 5 minutes after the user last executed a query or clicked a search result. Any queries after that start a new session.

    • Percent of sessions with a click: Sessions during which the user clicked at least one result.

  • For Data source reports

    • Items being served: Documents that can actively show up in searches (such as, have status accepted or modified).

    • Items by status: Go to the status definitions.
