To archive a user, you must have an Archived User (AU) license available. You can check to see how many AU licenses you have available and, if needed, buy new licenses. You can check available licenses for your entire organization or for an individual user. Read Manage former employees and their data.
Check your organization’s AU licenses
You can see the available and assigned AU licenses for your organization on the Billing page.
From the Admin console Home page, go to Billing > Billing accounts.
- Under Subscriptions, look for the G Suite [edition] - Archived User entry.
For Annual Plan subscriptions, the total number of licenses and the number assigned to users appear. For Flexible Plan subscriptions, only the number of licensed users appears.
Check a user’s AU licenses
You can see the available and assigned AU licenses for a user on the user’s details page.
- From the Admin console Home page, go to Users.
- Click the name of the user.
- Click the Licenses box to expand it.
The available and assigned licenses for that user, including any AU license, appear.
