Create or join a new Hangouts video meetings experience

To get started, open https://meet.google.com in a web browser, and watch this short video to see how easy it is to create and join a video call.

How to use the new Hangouts Experience

 

Tip: If the new Hangouts video meetings experience is not turned on for your organization, you can still join a video meeting by clicking the link sent by someone in a different organization.  Ask your administrator for more information.

Create a video meeting

Start a meeting from a browser or create a Google calendar event that includes a meeting link.

Anyone inside or outside your organization can join by clicking the link or entering the meeting ID.  

Tip: If uninvited guests outside your organization try to join, a meeting participant from your organization must grant access.

Schedule a meeting in Google Calendar

When the new Hangouts video meetings experience is turned on, all new calendar events you create will include a meeting link and dial in phone number.

  1. Open Google Calendar and create an event.
  2. Add guests from inside or outside your organization.
  3. Choose Save.

A meeting link and dial-in number are added to the event after it is saved. 

Start an instant meeting

Start a meeting and send the link to others asking them to join.

  1. Enter https://meet.google.com/ in a web browser.
  2. Click New meeting.
  3. Click Start Meeting.
  4. Copy the URL and text or email it to others.

​​Note:  Someone from your organization must grant access to external guests when they try to join.

Invite guests

You can invite guests before or after the meeting.  Guests can be be inside or outside your organization.

For example, you can:

  • Invite guests when you create a Google Calendar event.
  • Copy the Google Calendar meeting link and send it to additional guests.
  • After the meeting starts, copy and send the meeting URL.
    • Copy the URL from the address bar, or
    • Select the meeting and and click Copy Info.

Notes

  • Someone from your organization must grant access to external guests who try to join with the URL.
  • People in your organization are automatically granted access.
  • People who dial-in using the phone number will be prompted for the PIN.

Join a meeting

Join a scheduled meeting

Join a scheduled meeting from the Google Calendar event, or open a web browser to see your upcoming meetings.

Join from the calendar event

Open the Google Calendar event and select the meeting link, or dial the phone number and enter the PIN when prompted.

Join from a browser

  1. Enter https://meet.google.com/ in a web browser.
  2. Select the meeting from the list of scheduled events.
  3. Select Start Meeting.

Join using the meeting link

Click or select the meeting URL sent to you by someone else, then follow the onscreen prompts to join. 

Note: A meeting participant from your organization must grant access to uninvited external guests when they try to join.

Enter the meeting ID

  1. Open https://meet.google.com/ in a web browser.
  2. Log in to the Google account you use at work or school.
  3. Click Join a meeting and enter a meeting ID. The meeting ID is a unique code, such as abc-defg-hjk at the end of the link. The "-" characters are optional.

 

Note: External users must enter the full URL, which includes the meeting ID. For example https://meet.google.com/abcdefghjk.

Call in from a phone

All meetings include a phone number and PIN that allows internal and external guests to dial-in for audio-only access.
Copy and send the dial-in information from the calendar event, or from the meeting entry at https://meet.google.com/.
 
Tip:  You can also click the meeting name after the meeting starts to display the dial-in number (if their phone does not enter it automatically).

Present your screen

Display your entire screen or a specific window in a meeting.
Tip: Be sure to allow desktop notifications when prompted.  The notifications tell you when your screen is visible.

Computer

  1. Join a video meeting.
  2. Select Present.
  3. Select Your entire screen or A window.
  4. Select Share.

Use the controls in the bottom corner to control your sharing.

For example, cancel, pause, or resume your sharing.

Or share your screen if someone else is already presenting.

Tip:  If you are already in the meeting, such as a conference room, you can still share your screen.  Go to https://meet.google.com/, select the meeting, and then click Join only to present.

View meeting details

Select the meeting name in the bottom corner of the screen to display the meeting URL and dial-in number, and any information included in the event, such as an agenda or description.

Options

Change your camera, microphone and speakers

Choose an alternative camera, microphone or speaker if your built-in devices don’t work or if you prefer a different option.
  1. Open https://meet.google.com/ in a web browser.
  2. Select Settings Settings.
  3. Select General.
  4. Select the camera, microphone or speakers.
  5. Click Done.

Use standard or high definition video

Adjust the video resolution to either reduce bandwidth or send and receive high quality video.
Note: High definition video is only available if the current device is capable of supporting this video resolution.
  1. Open https://meet.google.com/ in a web browser.
  2. Select Settings Settings.
  3. Select Network.
  4. Select the maximum quality for data that is sent or received.
    • Send resolution: the image quality from your device that others will see.
    • Receive resolution: the image quality that you see from other participants.
  5. Click Done.

For example:

  • Standard definition (SD) uses less bandwidth and may be necessary if you experience video or audio delays or other quality issues.
  • High definition (HD) provides better quality voice and audio, but also requires sufficient bandwidth between your computer or device and the people you are meeting with.

Join the new Hangouts video meetings experience with Chrome devices for meetings

Chrome devices for meetings are group video conferencing systems that can be used in a conference room or other meeting space. When the new Hangouts video meetings experience is turned on in your organization, these devices can join either regular or new Hangouts video meetings.

Install and enroll a new Chrome device for meetings

If your organization already has a working Chrome device for meetings, you can start using the new Hangouts video meetings experience now.

To install and enroll a new Chrome device for meetings, visit the Chrome devices for meetings Help Center.

  1. Order a Chromebox for meetings device.
  2. Complete the requirements, and prepare the conference space.  For example:
  3. Set up the device.
  4. Install the device hardware.
  5. Enroll the device.

Join a meeting

Select a meeting from the list of scheduled events using your Chromebox for meetings remote.  You’ll see the the new Hangouts video meetings experience screen, depending on which type of meeting was created.

Present from a laptop

If you’re attending a meeting using a Chromebox for meetings device, you can present from a laptop.
  1. Join a meeting using a laptop.
  2. Select Present to conference room before you join the meeting.
  3. Choose a window and select Share.

Feedback and Support

What to do when the meeting doesn’t work

Because this is a new product, errors may occur.  If a video meeting has problems, send us feedback so we can fix the problem.

Provide feedback

Your input is important! Please provide feedback to help us improve the new Hangouts video meetings experience. 

  • From the More More menu, select General > Report additional diagnostics to help improve this product. Click Done. This greatly enhances our ability to gather logs and troubleshoot issues. 
  • From the More More menu, select Report a problem. 
  • Click Submit feedback at the end of video meeting.

Note: During this EAP, new features may be added or removed. We encourage your active feedback by using the “Send Feedback” menu within a meeting.

Send automatic diagnostics data

To automatically send anonymous usage data to help us improve the new Hangouts video meetings experience, make sure the setting is turned on:
  1. Open https://meet.google.com/ in a web browser.
  2. From the More More menu, select General > Report additional diagnostics to help improve this product.
  3. Click Done.
