Set up in-app G Suite Training

Get free interactive lessons for Gmail, Calendar, and more, right within your G Suite services

Set up the G Suite Training Chrome extension (formerly Training for Google Apps) to access interactive, self-paced G Suite lessons directly in your browser. This free extension adds a Training menu (Training for G Suite menu) to G Suite services, including the Admin console, Calendar, Classroom, Docs, Drive, Forms, Gmail, Google+, Groups, Hangouts, Sheets, Sites, and Slides. Click the menu to see relevant lessons. Each lesson is quick and easy-to-follow, with onscreen instructions and tips to guide you.

The extension is simple to use, making it an ideal way to learn about new features and increase G Suite usage in your domain. It's available in English with limited support for Chinese (both China and Taiwan), French, German, Japanese, Portuguese, and Spanish (Latin America).

Install

You can install the G Suite Training Chrome extension directly from the Chrome Web Store as follows:

  1. Sign into Chrome. 
  2. Open the G Suite Training  page in the Chrome Web Store. 
  3. Click Add to Chrome. The Training menu (Training for G Suite menu) appears at the top of the screen the when you refresh your G Suite services.

Alternatively, you can use Chrome App management in your Admin console to deploy the G Suite Training Chrome extension to your domain. This is useful if your domain has a large number of users, or if your users are spread out across multiple offices.

View lessons

To view G Suite Training lessons: 

  1. Sign into Chrome with your G Suite credentials.
  2. Go to the G Suite service you want to learn.
  3. Click the Training menu (Training for G Suite menu) for a list of relevant lessons, or use the search feature to find a particular lesson.
  4. Select the lesson and follow the onscreen instructions. 
View training videos

To view video versions of the G Suite Training lessons: 

  1. Sign into Chrome with your G Suite credentials.
  2. Go to the G Suite Training portal at portal.synergyse.com and click Videos.
Manage your domain's training experience

To optionally manage and customize your domain’s G Suite Training experience, install the G Suite Training Marketplace App in the Admin console, just like any other G Suite Marketplace app. After installing the app, click Additional app setup or click Users in the G Suite Training portal, then click Import from Google. The portal imports user and org unit data. You can optionally select which org units you import.

Configure G Suite Training portal permissions

G Suite super admins can determine which users see the Users, Lessons, and Reports pages in the G Suite Training portal. By default, users assigned to admin roles in G Suite automatically can access all pages, while users who aren’t assigned to admin roles can only see the Lessons, Videos, and Support pages.

To control admin access to the G Suite Training portal:

  1. Request admin access to the G Suite Training portal through G Suite support.
  2. In the G Suite Training portal, click Users.
  3. Select one or more users.
  4. In the Manage Admin Permissions section, select the permissions you want to add or remove.
  5. Click Add to selected or Remove from selected.
Generate usage reports

In the G Suite Training portal, click Reports to see how your domain uses G Suite training. The page has charts that show the number of lessons completed for each app and the number of lessons completed by the top users in your domain. (The charts appear only after your organization starts using the lessons.) The page also lets you generate reports with other data, such as the specific lessons each user completed and how long the lesson took to complete.

  • Click Generate New Report to see all training data for all your users.
  • Click Show Advanced Options to specify the scope of the report, then click Generate New Report.

The portal might take a minute to generate the report. When the report is ready, it appears beneath the charts on the Reports page. Click Ready next to a report to download it. The reports are in CSV format.

Enable 2-step verification

2-step verification (also known as two-factor authentication) provides an extra layer of security for your G Suite Training account. When you enable G Suite Training 2-step verification, the G Suite Training portal and the G Suite Training Chrome extension prompt you for a Google Authenticator-generated passcode when you sign in.

To enable two-factor authentication on your account:

  1. In the G Suite Training portal, click Settings.
  2. Click Enable.
  3. Follow the on-screen instructions.

If you change the device you use for Google Authenticator or disable two-factor authentication for your account, click Reissue next to your two-factor authentication status on the Settings page. This immediately disables your current two-factor device enrollment and presents you with a new QR code for enrolling a new device.

Add your own content
Add categories to the Videos page

You can add app and video categories to the Videos page in the G Suite Training portal. This lets you group topic-specific content, such as HR training videos you add or videos for a specific custom app.

To add a link:

  1. In the G Suite Training portal, click Lessons.
  2. Click New Custom App.
  3. Complete the form and click Save

After you create the category, you can specify which lessons it includes.

Add videos 

You can add videos to the Training menu (Training for G Suite menu) and the G Suite Training portal.

To add a video:

  1. In the G Suite Training portal, click Lessons.
  2. Click New Custom Lesson.
  3. Complete the form and click Save.
Add links to the Training menu

You can add links to the Training menu (Training for G Suite menu).  The link opens in a new tab when you click it.

To add a link:

  1. In the G Suite Training portal, click Lessons.
  2. Click New Custom Lesson.
  3. Complete the form and click Save
Recommend lessons

You can recommend specific lessons to your users. When you recommend a lesson in the G Suite Training portal, a star appears next to the title of the lesson in the Training menu (Training for G Suite menu). 

To recommend a lesson:

  1. In the G Suite Training portal, click Lessons.
  2. In the Training Customizations section, select the lesson you want to recommend. 
  3. Click Recommend.
Hide lessons

You can hide lessons that don’t apply to your users. For example, an organization that blocks POP3 imports into Gmail might want to hide the lesson that explains that process, or a corporate IT admin might want to hide Google Classroom lessons.

To hide a lesson:

  1. In the G Suite Training portal, click Lessons.
  2. In the Training Customizations section, do one of the following:
    • To hide all lessons for a G Suite service or category, select it and leave the second drop-down menu set to Select Section or Lesson.
    • To hide a specific lesson, select the app or category and specify the lesson in the second drop-down menu.
  3. Click Unpublish.
Customize the Training menu icon and hover text

You can replace the Training menu icon (Training for G Suite menu) and hover text:

  1. In the G Suite Training portal, click Settings.
  2. Follow the onscreen instructions to specify a new icon and text.
  3. Click Save.

The updated icon and text appear when you refresh your G Suite services. Click Reset in Settings if you want to switch back to the original icon and text.

Customize the Support link

You can change the page that appears when users in your domain click the Support link in the G Suite Training portal. For example, the link open your own support ticket system. The change only affects users who aren’t assigned to admin roles in your G Suite domain--admins always see the original Support link.

To customize the Support link:

  1. In the G Suite Training portal, click Settings.
  2. Enter the custom support URL and select Enable custom support link.
  3. Click Save.
Troubleshoot

I don't see the G Suite Training Chrome extension after it's installed.

Make sure you're signed into your Chrome browser, and that you're using the Chrome profile you used when installing the extension. The G Suite Training Chrome extension only works when you sign into a Chrome browser. It doesn’t work if you’re not signed in, or if you’re using a browser other than Chrome.

The G Suite Training Chrome extension hangs or doesn't work.

G Suite Training requires HTTPS (port 443) access to the following URLs:

Whitelist these URLs if you have a firewall or web filter blocking access.
