    Invite people to a video call

    Hangouts allows you to keep your video calls secure by limiting video call participants to only users in your organization. Or, you can open up calls to external guests when necessary by invitation or shared link. 

    External guests can join without a Google account using the meeting URL, if allowed. Guests without an account can present and participate in the video call, but other features, such as text chat and Hangout apps will not be available to them.

    This article applies only to G Suite users (if your email address ends in @gmail.com, you probably aren't using G Suite).  Learn how to start a video call in Hangouts.
    Options for inviting guests
    Invitation method Description
    Allow internal users only

    To allow only users from your organization to join a video call, add them to the Google Calendar meeting, but do not add any external users.

    To add additional guests after the meeting starts, click Invite people and invite the internal user(s).

    Invite specific internal or external users

    You can invite specific guests using Google Calendar, or add them after the meeting starts.

    Users outside of your organization who are specifically invited using an email account:

    • If they are logged in, they must also join with the same email address used in the invitation.
    • If they join with a different account or do not have a Google account, external users can request to join the meeting. Their name and profile image will appear when they join the meeting.

    Allow anyone to join using a link

    You can also allow anyone to join using a URL link.  They can click the link or enter it in a browser, and will be prompted to enter their name when they click the link to request access. They do not need a Google account.

    Note: Someone in your organization must allow or decline an uninvited external guest who tries to join a call with the meeting link.

    External guests with a Google account can join from a computer, a mobile device, or Chromebox for meetings device.
    Understand who can join a call

    At the top right of the video call window, the icon next to the meeting name indicates how restricted the call is.

    When this icon appears 

    • No one outside your organization was invited to the video call.
    • No one outside your organization can join the video call.
    • Click Invite people or Invite People to allow external guests to join.

    Note:

    The Call a Phone feature in Chromebox for Meetings may show the internal guests only icon, even if someone outside your organization is added as a phone participant.

    When this icon appears 

    • Someone outside your organization was invited to the video call.
    • Someone outside your organization was invited to a Calendar event hosting the video call.
    • The video call was shared using the meeting link.
    • Someone outside your organization can request to join if they have the meeting link.

    What you need to know

    • If someone outside your organization tries to join using the link, anyone from your organization can Allow or Decline access (except those using mobile devices).
    • Uninvited guests requesting to join may wait up to 10 minutes for a participant in your organization to accept them in the call.
    • Users who were invited don't need to be accepted to join the meeting.
      If an external participant gets disconnected, they can join again without requesting access.
    • G Suite administrators can also allow external guests to request to join by default using the meeting link.
    • Any participant in your organization can also Eject a participant. Ejected participants must be invited again to rejoin.

    • Someone outside your organization was invited to the video call.
    • Someone outside your organization was invited to a Calendar event hosting the video call.
    • Anyone inside your organization can join the meeting.
    • Uninvited guests cannot join using the meeting URL.
    • External users must be signed in to a Google Account (such as Gmail), and join with the same email address used in the invitation (they cannot join from a different account).
    Invite someone inside your organization to a call

    To make sure that your call is limited to people inside your organization, check the top right corner of your video call window for the internal guests only icon Internal guests only.

    Start a new video call

    1. On your computer, open Hangouts at hangouts.google.com or in Gmail.
    2. For each person in your group, type their name and check the box in front of their name.
    3. Click the video icon .

    Invite to an existing video call

    1. At the top of the video call window, click the invite people icon Invite people.
    2. Enter someone's name or email address.
    3. Click Invite.

    Schedule a video call with Google Calendar

    You can create a Calendar event and include a named video call, where all participants can join at the scheduled time. Only invite people inside your organization to the Calendar event.

    You can create a Calendar event and include a named video call, where all participants can join at the scheduled time. Invite anyone inside or outside your organization to the Calendar event. 

    Anyone outside your organization can forward the meeting link to others, who may use it to request access. If an uninvited person tries to join using the meeting link, you or anyone inside your organization can click Allow or Decline. External guests who join using the link do not need a Google account. They can present and participate in the video call, but other features, such as text chat and Hangout apps will not be available to them.

    Note: Google Calendar users will see the video call link in the calendar event (Video call field). Invitees who do not use Google Calendar will see the video call link in the event description.

    Tip: You can prevent uninvited guests from requesting access after a meeting starts by clicking the join with link icon Join with link  > Change > [Your organization] and people invited.

    Invite to an existing video call

    1. At the top right of the video call window, click the internal guests only icon Internal guests only.
    2. Click Change.
    3. Under "Allow people outside [your organization]?," click Allow. The meeting will change to Join with link Join with link.
    4. (Optional) To allow only invited users and not let anyone join from the link, click Changeyour organization and people invited. The meeting will change to External users invited Invited guests only. Under the "Send invite" section, enter the person's name or email address.
    5. Click Close.

    Note: If you allow someone outside your organization to join a call, you can’t change it back to an organization-only meeting. You’ll need to start a new video call.

    Invite phone participants to a video call

    You can invite people to a video call by dialing their mobile or landline telephone number. The person will still be able to participate in the discussion without having to be on camera.

    1. Start a Hangouts video call.
    2. Click Invite people .
    3. Click Add telephone.
    4. Agree to the terms, if necessary.
    5. Enter a telephone number and click Call.
    6. The person will be added to the video call when they answer the phone.
    If you don't see the Add telephone option, you may be in a country that does not yet support this feature, or your G Suite administrator may need to enable Google Voice.
    Turn external guest URL access on or off

    To change how uninvited guests can access a video call after a meeting starts:

    1. In the video call, select invite people Invite people.
    2. Select Change and then select an option:
      • Join with link Anyone with the link
      • Invited guests only Your organization and people invited
    3. Select Close.

    Note: If participants outside your organization are allowed to join a call, you can’t change it back to an organization-only meeting. You’ll need to start a new video call.

    Invite guests using Chromebox for meetings

    A Chromebox for meetings video call is simply a Hangout that is displayed on a monitor.

    You can create an event and add guests to a Chromebox for Meetings video call the same way you invite them to a Hangout. Guests can join the video call using a Chromebox, computer, or mobile device, just like any other video call.

    Join a video call outside your organization

    You can also use Chromebox for meetings to join a Hangout outside of your organization.

    Present from a laptop

    Guests in a meeting room can present from their own laptops by entering g.co/present/domain/meeting-name in a web browser.

    Join a video call inside your organization

    1. On a computer, go to g.co/hangouts.
    2. In the "Enter a Hangout name" text field, enter the name of the video call.
    3. Click the continue icon .


    Join a video call outside your organization

    1. On a computer, go to g.co/hangouts.
    2. In the "Enter a Hangout name" text field, enter the host organization domain and name of the video call, formatted as domain-name.com/meeting-name.  For example: solarmora.com/meeting1.
    3. Click the continue icon .
    4. You will only be able to join the call if the host has set the meeting to Join with link Join with link.  Anyone from the host organization can Allow or Decline your access to the call.
