Change a user’s license to a different version of a service

If you have multiple versions of a service—for example, multiple G Suite editions—you can change a user's license option by assigning a license to a different version of the service. The user's previous license is freed up.

Note:

  • In some cases, if you change a user’s license, it might take up to 24 hours before you can assign the previous license to a different user.
  • If you want to reassign a license from one user to another, follow the steps to first unassign the license from the first user and then assign it to the second user.

Change a user’s license type

Change a license on the license management page
  1. Go to the license management page for the service you want to change licenses for:
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. From the Admin console dashboard, go to Billing.
    3. The Admin console shows a list of boxes that correspond to each service you've purchased, with basic information about your subscription to that item.

      In the box for the service you want to change licenses for, click More Moreand then Manage Licenses.

  2. On the license management page, click the Assigned users tab.

    The tab lists all users who have currently have a license for the service. The type of license appears in the License column.

  3. Check the box next to the names of the users whose licenses you want to change.
  4. Click the Assign button. On the drop-down list that appears, select the license for the version of the service you want.

    The drop-down list shows the number of licenses you've purchased and the number that are already in use for each version of the service. If you have enough free licenses for the selected users, the new license option applies. The user's previous license is freed up.

    If you don't have enough free licenses for the selected users, an error message appears. Repeat step 3 and select only the number of users for whom you have free licenses.

Change a license on the Users list page
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. From the Admin console dashboard, go to Users.
  3. Check the box to the left of each user’s name you want to change licenses for.

    Note: You might need to hover over a user’s thumbnail image to see the checkboxes.

  4. In the upper-right corner of the screen, click Manage licenses Manage licenses .
  5. Click Assign licenses.
  6. To the left of the service name , click the arrow to expand the list of versions.
  7. Click the license for the version of the service you want to assign.
  8. Click Assign. This replaces the users’ currently assigned license type with the new license type.
Change a license on an individual user's detail page
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. From the Admin console dashboard, go to Users.
  3. Click the name of the user to whom you want to change the license.
  4. On the user’s detail page, click the Licenses section to expand it, and then click Manage Licenses.
  5. To the left of the service name, click the arrow to expand the list of versions. 
  6. Check the box or select the button next to a different version of the service. This replaces the users’ currently assigned license type with the new license type.
  7. Click Save.
