    Change a user’s license to a different version of a service

    You can reassign a license to a different user by removing the license from the user who currently has it and assigning the newly freed license to the other user. If you have multiple versions of a product—for example, multiple Google Drive storage capacities—you can also change a user's license option by assigning a license to a different product version. The user's previous license is freed up.

    Note:

    • You can't remove a user's license if you've elected to auto-assign licenses to all users.
    • In some cases, if you unassign a license, it might take up to 24 hours before you can reassign the license to a different user.
    • If you want to reassign a license from one user to another follow the steps to first unassign the license from the first user and then assign it to the second user.
    Change a license on the license management page
    1. Go to the license management page for the service you want to unassign licenses for:
      1. Sign in to your Google Admin console.

        Sign in using your administrator account (does not end in @gmail.com).

      2. From the Admin console dashboard, go to Billing.
      3. The Admin console shows a list of boxes that correspond to each service you've purchased, with basic information about your subscription to that item.

        In the box for the service you want to change licenses for, click More Moreand then Manage Licenses.

        The license management page appears. This page includes three tabs:

        • Assigned users lists the users who currently have a license for the selected service.
        • Unassigned users lists the users who do not currently have a license for the service.
        • Manage licenses provides information about the licenses you've purchased for this service and offers general license management options.
    2. Select the Assigned users tab.

      The tab lists all users who have currently have a license for the service. The type of license appears in the License column.

    3. Check the box next to the names of the users whose licenses you want to change.
    4. Click the Assign button and select the license for the version of the service you want from the drop-down list that appears.

      The drop-down list shows the number of licenses you've purchased and the number that are already in use for each version of the service. If you have enough free licenses for the selected users, the new license option applies. The user's previous license is freed up.

      If you don't have enough free licenses for the selected users, an error message appears. Repeat step 2, selecting only the number of users for whom you have free licenses.

    Change a license on the Users list page
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. From the Admin console dashboard, go to Users.
    3. Check the box to the left of each user’s name you want to change licenses for.

      Note: You might need to hover over a user’s thumbnail image to see the checkboxes.

    4. Click Manage licenses Manage licenses in the upper-right corner of the screen.
    5. Click Assign licenses.
    6. Click the arrow to the left of the service name to expand the list of versions.
    7. Click the license for the version of the service you want to reassign.
    8. Click Assign. This replaces the users’ currently assigned license type with the new license type.
    Change a license on an individual user's detail page
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. From the Admin console dashboard, go to Users.
    3. Click the name of the user to whom you want to change the license.
    4. Click the Licenses section on the user’s detail page to expand it, and then click Manage Licenses.
    5. Click the arrow to the left of the service name to expand the list of versions. 
    6. Check the box or select the button next to a different version of the service. This replaces the users’ currently assigned license type with the new license type.
    7. Click Save.
