Change a user’s license to a different subscription

If you have multiple subscriptions for the same Google service—for example, multiple Google Drive storage capacities—you can change a user's license option by assigning a license to a different subscription of the service. The user's previous license is freed up.

Note:

  • In some cases, if you change a user’s license, it might take up to 24 hours before you can assign the previous license to a different user.
  • If you want to reassign a license from one user to another, follow the steps to first remove the license from the first user and then assign it to the second user.

Change a user’s license type

Change a license on the license management page
  1. Go to the license management page for the service you want to change licenses for:
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. From the Admin console Home page, go to Billing.
    3. The Admin console shows a list of boxes that correspond to each service you've purchased, with basic information about your subscription to that item.

      In the box for the service you want to change licenses for, click Actions and then Manage Licenses.

  2. On the license management page, click the Assigned users tab.

    The tab lists all users who have currently have a license for the service. The type of license appears in the License column.

  3. Check the box next to the names of the users whose licenses you want to change.
  4. Click the Assign button. On the drop-down list that appears, select the license for the version of the service you want.

    The drop-down list shows the number of licenses you've purchased and the number that are already in use for each version of the service. If you have enough free licenses for the selected users, the new license option applies. The user's previous license is freed up.

    If you don't have enough free licenses for the selected users, an error message appears. Repeat step 3 and select only the number of users for whom you have free licenses.

Change a license on the Users list page
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. From the Admin console Home page, go to Users.
  3. Check the box to the left of each user’s name you want to change licenses for.
  4. In the upper-right corner of the screen, click More More > Assign Licenses.
  5. For any service that has multiple subscriptions available, an arrow appears next to the service name. Click the Down arrow Down Arrow to expand the list of subscriptions.
  6. Click the license for the subscription of the service you want to assign.
  7. Repeat steps 5 and 6 to change the subscription for another service.
  8. Click Assign. This replaces the users’ currently assigned license type with the new license type.
Change a license on an individual user's detail page
  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. From the Admin console Home page, go to Users.
  3. Click the name of the user to whom you want to change the license.
  4. On the user’s detail page, scroll down to and click the Licenses section to expand it.
  5. Click the service name. If an arrow appears, this indicates that multiple subscriptions are available for that service.
  6. Click the Down arrow Down Arrow to display the available subscriptions. 
  7. Click the subscription you want. This replaces the users’ currently assigned license type with the new one.
  8. Repeat steps 5–7 to change the subscription for another service.
  9. Click Save.
