What is the Gemini App?

The Gemini app includes:

"Gemini Apps” are also sometimes referred to as the “Gemini app” or “Gemini.”  If you have a work or school Google Account, your use of Gemini Apps may be subject to different data handling terms. Learn more about using Gemini Apps with a work or school Google Account.

Who can use the Gemini app?

All Education editions can use the Gemini app as a core service with enterprise-grade data protections:

  • Gemini Education Premium

Users who access the Gemini app through one of these editions are subject to the Google Workspace for Education Terms of Service. Gemini includes everything in the Gemini app with enterprise-grade data protections as well as priority access to new features and access to Google’s most capable AI models.

Do users need a license to chat with the Gemini app?

How your users access the Gemini app depends on whether you have a Gemini Education add-on:
  • All Google Workspace for Education users—The Gemini app is a core service for all education users, including Education Fundamentals. This includes enterprise-grade data protections and follows the Google Workspace for Education Terms of Service.
  • With a Gemini Education add-on—Users with a Gemini Education add-on license get access to Gemini, which features the latest models and cutting-edge features available broadly. To let users access Gemini as a core service with their Google Workspace account, assign them a Gemini Education license.

How do usage limits work?

Google Workspace with Gemini provides a powerful new way of working, teaching, and learning with generative AI across Google Workspace for Education. Each person with a Gemini Education license can use the Gemini app and features in Google Workspace with Gemini 1,000 times per month. Usage limits reset on the first day of each month.

What if I don’t have Google Workspace today? What if I don’t have the right edition?

If you're an educational institution and don't have Google Workspace for Education, submit a request for an Education edition. Then, contact sales about getting a Gemini Education add-on. Get started with Google Workspace for Education.

How does Google Workspace with Gemini protect my data?

When Google Workspace for Education customers use Google Workspace with Gemini, they get the same robust data protection and security standards that come with all Google Workspace services, with specific protections for businesses, education, and public-sector customers:

  • Users with a Gemini Education license get enterprise-grade data protections when they use the Gemini app. Submissions aren't used to train models and are never reviewed by humans. Learn more about how the Gemini app works for users who don't have a license.
  • Your interactions with Google Workspace with Gemini stay within your organization. Google Workspace with Gemini stores any prompts or generated content alongside your Workspace content and does not share them outside your organization.
  • Your existing Google Workspace protections are automatically applied. Google Workspace with Gemini brings the same enterprise-grade security as the rest of Google Workspace, automatically applying your organization’s existing controls and data handling practices, such as data-regions policies and Data Loss Prevention.
  • Your content is not used for any other customers. None of your content is used for model training outside of your domain without permission.

How does Gemini protect users from gen AI security threats?

Attackers sometimes try to hide suspicious URLs and malicious prompts in email or docs. Similar to known threats, like malware and phishing scams, these emerging threats can be difficult for users to spot, and they attempt to get gen AI tools to do something unintended or harmful. When users ask Gemini to summarize content such as email messages or documents, Gemini analyzes the content for threats before taking action. Are there any restrictions on Google Workspace with Gemini?

Users must be 18 years of age or older to use the add-on. Admins can designate users as 18+ with the age based access setting.

How do I make Google Workspace with Gemini available to my users?

  1. Make sure you have a qualifying edition of Google Workspace for Education.
  2. Contact Sales or your reseller to purchase a Gemini Education add-on.
  3. Assign Gemini Education licenses to users in your organization.

Is Gemini HIPAA compliant

The following products can support HIPAA workloads:

Are there any country limitations for the Gemini app ?

The Gemini web app is available in these countries and regions.

The Gemini mobile app is available in these countries

What does it mean that this offering is an add-on?

Admins must have a Google Workspace for Education edition before they can purchase a Gemini Education add-on.

Is client-side encryption compatible with Google Workspace with Gemini?

No. Gemini for Google Workspace is unable to act on email and files that are encrypted with customer-controlled keys

What do I need to know about NotebookLM?

NotebookLM is a Core service and is covered under the Google Workspace for Education Terms of Service. As a Google Workspace customer, your uploads, queries, and the model's responses in NotebookLM will not be reviewed by human reviewers and will not be used to train AI models.

When the NotebookLM service setting is turned on:

  • Users with an assigned Google Workspace with Gemini add-on license will have access to NotebookLM.
  • Users without a Google Workspace with Gemini add-on license will have access to NotebookLM.

Additional details about the availability of Google Workspace with Gemini features

Each time you submit a generative AI request, it starts a process that uses a tremendous amount of data center resources. Google has planned for this increase in computational usage, and will attempt to make Google Workspace with Gemini responsive to everyone who has subscribed to this add-on. 

However, we expect customer usage to dramatically increase because of the transformative nature of these features. Consequently there may be times when your use and experimentation may cause Google Workspace with Gemini to be slower or delays in wait time. 

Contact your account representative or Google Support if you experience slower than usual Google Workspace with Gemini response times.

Additional details about the usage of Google Workspace with Gemini

You and your users may not use Google Workspace with Gemini in a way that degrades the services for other Google Workspace customers, such as submitting an excessive number of requests.

To protect the service and ensure Google Workspace with Gemini is available to other customers, Google may reduce your access to AI features if we reasonably determine that you've exceeded usage limitations.
