Manage Google Workspace smart features for your users

Get more control over your organization’s Google Workspace content and activity data by turning smart features and cross-product data sharing on or off in Google Workspace apps. These settings also control how your users’ Google Workspace content and activity data can be used to provide smart features in other Google products.

Each Workspace smart feature setting works independently from one another and provides different experiences. For example, you can turn on smart features for Google Workspace, and turn off smart features for other Google products. To understand how each smart feature setting works, use the table below.

Smart features in Gmail, Chat & Meet

When you turn on smart features in Gmail, Chat, and Meet, you agree to let Gmail, Chat and Meet use your content and activity in these products to personalize your experience in those apps.

When you turn this setting on, you can get experiences in Gmail, Chat and Meet that include:

The setting controls app-level smart features which personalize your experience within Gmail, Chat, or Meet. Changes to this setting don’t affect your existing control over the smart features in Google Workspace setting.

When you turn off this setting, you can’t use the experiences listed above in Gmail, Chat, and Meet. To continue to use these experiences, you need to turn the setting back on.

Even if you turn off smart features in Gmail, Chat, and Meet, some smart features with individual on and off settings are still available. These features don't use opted-out user data to improve the models that power them. Some examples include:

Smart features in Google Workspace

When you turn on smart features in Google Workspace, you agree to let Google Workspace use your Workspace content and activity to personalize your experience across Workspace. Workspace includes apps for businesses and schools, such as Calendar, Gmail, Chat, Meet, Drive, and more. To learn more, visit the Workspace website.

When you turn off this setting, you can’t use the experiences listed above in Google Workspace products. To continue to use these experiences, you need to turn the setting back on.

Changes to the smart features in Google Workspace setting don't affect your existing control over the smart features in Gmail, Chat, and Meet setting described above.

Smart features in other Google products

When you turn on smart features in other Google products, you agree to let Google use your Workspace content and activity to personalize your experience in other Google products.

When you turn this setting on, you can get experiences in other Google products that include:

When you turn off this setting, you can’t use the experiences listed above in other Google products. To continue to use these experiences, you need to turn the setting back on.

In addition, data sharing and personalization in other Google products may be subject to additional controls, such as Web and App Activity and DMA linked services (in the EU).

Turn Workspace smart features & controls on or off

Important: If your domain is based in the European Economic Area, Japan, Switzerland, or the UK, Workspace smart features and controls are turned off by default. For all other regions, Workspace smart features and controls are turned on by default. Admins can set a default for their users, but users can override the default in their individual settings.

You must be signed in as a super administrator for this task.

  1. Sign in with a super administrator account to the Google Admin console.

    If you aren’t using a super administrator account, you can’t complete these steps.

  2. Go to Menu and then Account > Account settings > Smart features for Google Workspace.
  3. Choose whether to set a default:
    • Don’t set a default experienceYour users choose whether to turn smart features and controls on or off. You can share this helpful resource with your users: Smart features & controls in Google products.
    • Set a defaultYou choose to turn smart features and controls on or off by default for your users. Select this setting and be sure to select the relevant options. Otherwise, a default isn’t set, and your users decide their own settings. Your users can later opt to turn the features on or off.

Notes:

  • Once you change the setting, if you or your users have multiple windows or tabs open, you must refresh your browser to ensure the change is applied across all windows or tabs.
  • Changes can take up to 24 hours but typically happen more quickly. Learn more
